What if someone asks questions the AI or live receptionist can’t answer?

You get to decide what happens when the AI or live receptionist doesn’t have answers to a caller’s questions. Usually, we transfer the call or take a message. However, we can also work with you to create a wide range of FAQs and information documents so both the AI and live receptionists can give most calls a resolution without requiring your team to pick up the phone.

What happens if two or more people call the AI at the same time?

Both our AI voice receptionist and live receptionists will be available to take calls even if your phone lines are down. That means even widespread damage in your local area won’t keep you from being available for your community.

Keep in mind, call forwarding is set up through your phone provider. If you're worried about losing service or being out of range, we recommend using unconditional or direct call forwarding to ensure your calls always get routed to us, no matter what’s happening on your end.

What happens if my power or phone service goes out?

Are your live receptionists always available?

Signpost live receptionists are available 24/7 year round, with no extra charges on holidays. On average, we answer every call within 3 rings so you can be available to customers no matter when they call.

How does Signpost handle spam calls?

Both our live receptionists and AI voice receptionist are trained to quickly detect spam calls. Live receptionists end spam calls quickly and request to be added to the do not call list. Repeat calls are added to our Global Block List.

Alternatively, AI Voice Receptionist is the perfect tool for filtering spam rapidly and affordably. It detects and ends junk calls immediately and requests to be placed on the Do Not Call List.

You will also have access to a personal block list in your Messaging Hub where you can block or unblock numbers.

What is the Global Block List?

The Global Block List is a filter that blocks certain numbers for all Signpost accounts when we determine that they’re spam.

Where can I see my calls and other account information?

Messaging Hub is your centralized inbox for all phone communications. When you receive a call, a recording, transcript, and call summary will go to your Messaging Hub. You’ll also receive a text and email notification with a link.

Can you schedule appointments in my CRM?

Signpost live receptionists schedule directly in your CRM, closely following your workflow and any instructions you provide.

However, please note that our AI Voice Receptionist does not schedule appointments in your CRM at this time.

Can live receptionists transfer important calls to me or my team?

We may handle your phone calls, but you’re still the expert. While we aim to keep you and your team off the phone as much as possible, some calls need your involvement. Whether those are emergencies or complex situations, we’ll work with you to determine which situations get transferred to your team.

How long does it take to get set up?

Onboarding appointments are typically scheduled within 24–48 hours after you sign up. From there, it depends on the complexity of your setup, like custom scripting, scheduling, or CRM access.

In many cases, we can have your lines ready to forward within an hour after onboarding. In others, it may take a few days to finalize everything and ensure our receptionists are fully prepared to represent your business.

What happens if the AI makes a mistake?

Every call is recorded and transcribed in real-time. You’ll see exactly what happened and can give feedback directly through the Messaging Hub. The AI learns from this instantly—no tickets or tech support needed.

Can I change how the AI responds to certain questions?

Yes. You have full control over how the AI Voice Receptionist responds. Just update your FAQs or instructions and the AI will immediately adjust based on your preferences.

Can the AI speak Spanish?
